Registration

The IB World Student Conference is open to IB students who are enrolled in an authorized IB Diploma Program. This conference is intended for students attending an IB authorized school who will be an anticipated (first year) or full diploma candidate (second year) in the 2010-2011 school year.In order to ensure widespread participation from the 3 IB regions, there will be a cap of 300 students from the United States and Canada, and 300 from the rest of the world. *Please note: There is no longer a limit of 4 registrations per school.*

The registration cost is $600 (USD). This includes:

  • Six (6) nights of dormitory housing, double-occupancy (see housing information)
  • All meals, from dinner Sunday night, August 8 to breakfast Saturday morning, August 14
  • Transportation to and from Oregon State University in Corvallis, Oregon and the Portland, Oregon airport (PDX)
  • An excursion to the Oregon coast and the Hatfield Marine Science Center, Newport, Oregon, including transportation
  • Program with national and international renowned speakers
  • Evening entertainments
  • Dixon Recreation Center passes for 2 nights

Registration Timelines
October 1, 2009: Registration open to all IB DP schools (maximum of 4 students per school). If the cap of 300 from either Canada/US or the rest of the world is reached, a waiting list will be started.

March 1, 2010: If there are less than 600 students registered, students will be accepted from the wait list, regardless of location.

April 1, 2010: If there are less than 600 students registered, all caps are removed; schools can register more than 4, regardless of location.

July 1, 2010: Registration ends.

Additional Requirements
Proof of medical insurance is required of all participants.
A parental release form allowing chaperones to obtain medical attention if needed is required for all participants under 18 years old.
A parental release form is required before anyone under 18 years old climbs on the rock wall in the Dixon Recreation Center.
A $50 cash deposit is required for dorm keys and bed linens. (This is fully refundable at the end of the conference.)

Adult/Advisor Participation
We strongly encourage and welcome adults (teachers, coordinators, parents) to accompany and chaperone their students. The OSU Conference rules require one adult chaperone for every 10 students, and the conference hosts (Northwest Association of IB World Schools and OSU) will provide these chaperones. Adults who accompany their students can have as much or as little contact with them during the conference. They will be charged for their meals, lodging, ground transportation, and Oregon coast excursion according to the following options.

Meals, Ground Transportation, Oregon Coast trip, Single-occupancy dormitory room: $375
Meals, Ground Transportation, Oregon Coast trip: $200 (See hotel information for booking your hotel room at our reduced conference price.)

CODE OF CONDUCT
The primary goal of the IB World Student Conference is for every delegate to experience a safe and fulfilling week. As a global ambassador representing your school, each student must take responsibility for his or her own behavior. The following must be strictly observed by all delegates:

1. Students will be expected to stay on campus for the entire week. Parking for students driving to campus will be available. Students will not be allowed to use their vehicle during the week. Individuals not enrolled in the conference will not be allowed to visit.
2. Students must observe the designated lights out (11:30 p.m.). Noise must be kept to a minimum after that time and students must be in their own dorm rooms.
3. The use of drugs/alcohol/tobacco is strictly prohibited.
4. Students are expected to show respect for the staff, other delegates, and for the property we will be using (Oregon State University, Marine Hatfield Science Center).
5. Students should behave with cultural sensitivity and in good taste.
6. Students are expected to be on time for all sessions and participate in a positive manner.

Failure to adhere to this Code of Conduct could result in parent and school notification and/or immediate dismissal.

Group photos of participants may be taken during the week and used for publicity purposes. Individuals will not be identified in the photos.

IB WORLD STUDENT CONFERENCE: WAIVER OF LIABILITY AND RELEASE AGREEMENT
I elect to participate voluntarily in the conference, knowing that the associated activities may incur certain risks. I voluntarily assume full responsibility for any risks or loss, property damage, or personal injury that may be sustained by me, or loss or damage to property owned by me, as a result of participation in this conference.

I, and my family members, release Oregon State University, International Baccalaureate Organization, Northwest Association of IB World Schools, individual school coordinators or heads, chaperones or group leaders, from any and all liability, claims, demands, and actions arising out of or related to any loss, damage, or injury, that may be sustained by me, or to any property belonging to me, while participating in any conference activities, or while on the premises where the events are being conducted.

CANCELLATION POLICY
Cancellation requests made in writing no later than 5:00 p.m. (PDT) Sunday, February 28th 2010 will receive a 50% refund. Requests made no later than 5:00 p.m. (PDT)Tuesday, June 30th 2010 will receive a 25% refund. Cancellations after 5:00pm (PDT)on or after Thursday, July 1st 2010 will not be granted a refund.
